Facilitation

Meeting Facilitation

Meeting facilitation is the practice of structuring and guiding meetings so they achieve their purpose efficiently and inclusively. It addresses one of the most common and costly sources of organizational waste: unproductive meetings.

01

What it is

Research consistently shows that most professionals consider a significant proportion of their meetings to be unnecessary or ineffective. The problem is rarely the content — it is the absence of deliberate process. Meeting facilitation applies the principles of facilitation to the most ubiquitous of organizational formats.

Effective meeting facilitation starts before the meeting: defining a clear purpose and desired outcome, selecting the right participants (no more, no fewer), sharing a structured agenda, and ensuring that the right information is available. During the meeting, a facilitator (whether a designated person or a rotating role) manages participation, keeps the group focused on the stated purpose, manages time, captures decisions and actions clearly, and ensures that the meeting ends with clarity about what was agreed and who will do what by when.

A growing area of meeting facilitation involves hybrid and virtual meetings, which introduce specific challenges around inclusion, engagement, and participation equity.

02

How it is used in coaching

Coaches who work with leadership teams frequently address meeting quality as part of team effectiveness. They help teams develop shared norms around meetings, introduce facilitation skills into the team's repertoire, and coach meeting chairs to shift from presenting and deciding to genuinely facilitating shared thinking.

03

Key benefits & applications

Reclaims significant organizational time and energy; improves decision quality and follow-through; builds a culture of purposeful, respectful collaboration; particularly high-impact in leadership teams where meeting quality sets the norm for the whole organization.
